Practical guide

Convert historical debtor bank statements from PDF to Excel

Insolvency practitioners may inherit years of financial records, often as scanned or exported PDFs from several institutions. A spreadsheet is useful for filtering payments, but only when the source of each transaction stays traceable. A converted list cannot silently fill gaps in the original case file.

Prepare your documents

Before conversion, identify the account, bank and covered period for each file. Catalogue statement numbers and pages, keep accounts separate, and flag illegible scans or missing months instead of guessing missing information.

Step by step

  1. 1. Inventory the original statements

Group files by bank, account and period. Record which pages exist and identify absent first pages or internal sheets. Do not treat a run of PDF files as a continuous financial history until the underlying statement dates have been checked.

  2. 2. Extract readable transactions

Upload the bank statement PDFs individually or in a batch and select CSV or Excel. The converter structures visible transactions; it cannot reconstruct transactions or balances from missing documentation.

  3. 3. Validate against the sources

Compare amounts, signs, dates, payment descriptions and available balances with the underlying statements. Keep value dates separate from posting dates. If several bank accounts appear similar, preserve their distinct identifiers.

  4. 4. Build a documented working spreadsheet

Retain the bank, account, source document and date range with each dataset. Filter for unusual amounts or repeated counterparties, but trace selected entries back to the original page and other evidence before further professional investigation.

Illustrative example

Illustrative example: One account has January and March statements, but February is absent. January and March rows can be exported. The resulting table must clearly show that the quarterly record is incomplete; a spreadsheet cannot make the missing month appear.

Common pitfalls

  • Do not hide missing sheets, duplicate pages or overlapping statement periods.
  • Do not confuse transaction date, value date, currency or debit/credit direction.
  • A filtered transfer is not itself evidence of fraud, preference or a recoverable payment.

Result and next step

Structured rows can speed up case review when their source and limitations are documented. Substantive conclusions still depend on the original records and independent case evidence.

Scope and limitations

KontoCSV is a statement conversion tool, not insolvency administration, forensic investigation or legal advice software. Ownership, completeness and legal recoverability require qualified assessment.

Frequently asked questions

Can statements from several banks be compared?

Yes, after extracting and checking each dataset separately. Keep the account identity and any currency differences visible in your analysis.

What if statement pages are missing?

Record the gap and seek the source pages. Extraction does not replace absent documentation, and complete balance information may be required for specialized bank export formats.
