Practical guide

Reconcile PayPal and Stripe payouts against bank statements

An online seller may see one net credit on the bank statement even though the payment provider recorded many orders, refunds and processing fees. Comparing that bank entry with gross sales is therefore misleading. A proper check uses both the bank data and the provider's underlying payout report.

Prepare your documents

Obtain complete bank statements for the payout account plus relevant PayPal or Stripe transaction and payout reports. Note the currency, reporting window and time zone. KontoCSV prepares transactions from the bank PDFs; the separate platform exports must be downloaded from those providers.

Step by step

  1. 1. Convert bank statements to rows

Convert the account's PDF statements to CSV or Excel. Identify credits by date, amount, counterparty and reference while checking signs and figures against the source statements.

  2. 2. Download original provider reports

Retrieve the associated payouts or settlement records from PayPal and Stripe. Include fees, refunds, adjustments and payout identifiers where available; individual sales alone do not prove the bank deposit.

  3. 3. Match net amounts and timing

Compare each net provider payout against a bank credit. Bank posting dates can differ from provider settlement dates. Identical amounts can be coincidental; prefer payout IDs, currency and a documented period.

  4. 4. Explain differences before accounting

Review unsettled payouts, refunds, charges, foreign exchange and timing differences. Document unmatched items and complete any accounting or tax allocations in the appropriate system.

Illustrative example

Illustrative example: The platform records 100.00 in customer payments and deducts 3.00 in fees, leaving a 97.00 net payout. A matching 97.00 bank credit explains the numerical difference from gross sales, but the payout report and reference are needed to establish the actual match.

Common pitfalls

  • Never compare gross order sales directly with net bank deposits without fee and refund detail.
  • Account for currency conversion, settlement delays and multiple payments on one date.
  • Do not assume KontoCSV performs automatic platform reconciliation or VAT calculation.

Result and next step

The bank CSV is one verified side of a reconciliation. The other comes from the payment provider's reports and a professional review of exceptions.

Scope and limitations

KontoCSV structures bank statement transactions. It does not automatically connect to PayPal or Stripe for this workflow, reconcile individual orders or perform tax classification.

Frequently asked questions

Why are bank credits lower than total sales?

Net settlements can already reflect provider fees, refunds and other adjustments. Examine the specific payout report.

Does KontoCSV automatically match provider reports to bank credits?

No. The tool extracts bank transactions; matching to external platform reports happens separately.
